How Do I Create A Booking Calendar?

Here is a full checklist of how to set up your booking calendar!

The booking calendar is a powerful tool that allows you to schedule and manage appointments or events with ease.

Step 1: Access Your Dashboard

To begin, log in to your FEA Create account and access your dashboard. If you haven't created a calendar yet, you'll need to set one up. Follow these simple steps:

  1. From your dashboard, navigate to the "Calendars" tab.

  2. If no calendars are visible, it's because you haven't created one yet. Click on "Calendar Settings" to create a new calendar.

  3. Choose the type of calendar you want to create. FEA Create offers various options, each suited for different purposes:

    • Simple Calendar: A basic calendar that can be used for general scheduling.

    • Round Robin Calendar: Ideal for one-to-one appointments where the user needs to be specifically assigned.

    • Booking Calendar: Great for webinars, workshops, or group events.

    • Collective Booking Calendar: Useful for scheduling a single event with multiple team members involved.

  4. For this tutorial, we'll select "Round Robin Calendar" to create a discovery call. You can choose the calendar type that best suits your needs.

  5. Enter a name for your calendar and assign it to the relevant team member or user.

  6. Create a custom URL (slug) for your calendar. If you see a message indicating that the slug is already taken, continue adding unique words or numbers until the message disappears.

  7. Set the meeting duration for your appointments.

  8. Configure your booking availability. Ensure that the availability matches the settings in your personal profile.

  9. If you wish to charge for appointments, select "Accept Payments" and specify the amount. Note that you need to have your Stripe account connected for this feature to work.

  10. Once your calendar settings are complete, click "Confirm."

Step 2: Get Your Booking Calendar Link

After setting up your calendar, you'll receive a unique link that you can share with your clients or participants. This link allows them to view and book appointments directly.

Here's how to find your calendar link:

  1. Locate your calendar in the "Calendars" section.

  2. Click on the three dots (...) next to your calendar name.

  3. From the dropdown menu, you can choose to edit your calendar settings, add a logo, assign it to a calendar group, and more.

  4. To get your booking calendar link, click on "Edit."

  5. Under "Calendar Details," you'll find your booking link. This is the URL you can share with others to book appointments.

Step 3: Customize Your Calendar (Optional)

While your calendar is functional with the default settings, you can customize it to better suit your needs. Here are some optional customizations you can make:

  • Change the Title: Update the title that displays in your users' calendars.

  • Set Minimum Scheduling Notice: Specify a minimum notice period for bookings to prevent last-minute appointments.

  • Limit Date Range: Restrict the date range within which appointments can be booked.

  • Maximum Bookings Per Day: Control the number of appointments you want to accept in a single day.

  • Add Buffer Time: Include buffer time between appointments.

  • Forms and Payment Details: Connect a form to gather additional details from clients.

You can also configure notifications, change the calendar's appearance, and add custom CSS if needed.

Share your booking link with clients or participants, and start scheduling appointments with ease. Whether it's discovery calls, coaching sessions, webinars, or team events, the booking calendar simplifies the process and enhances your scheduling efficiency.
