Step 1. Understanding the Two Levels of Availability
There are two things that control when people can book time with you:
User Availability – your personal availability based on when you're free to take appointments.
Calendar Availability – the availability set within the calendar itself.
Both work together. If either is unavailable, time slots will not show.
Step 2. Check Your User Availability
Start by confirming your personal availability is set up correctly:
Go to Settings in your FEA Create dashboard.
Click Calendars, then select Availability.
Click on your name (or a team member if you manage multiple users).
Set your weekly working hours, including days and times.
Add Date Specific Hours if your schedule changes on certain days, such as holidays.
Apply your schedule to all calendars or specific ones as needed.
Click Save Changes to confirm.
Step 3. Manage Time Zones
FEA Create handles time zones in two ways:
Business Profile Time Zone – this is the default time zone for your business and affects how appointments are scheduled across calendars. Make sure it is correct if you manage multiple staff or bookings.
User Time Zone (under My Profile > Additional Calendar Settings) – this controls how appointment times are displayed to you personally and in appointment-related emails. It does not affect your actual availability or how clients see your calendar.
To check or update your user time zone:
Go to Settings > My Profile.
Scroll down to Additional Calendar Settings.
Check View Appointments In > Timezone. Adjust if needed for your personal view.
Ensure all team members’ time zones are set correctly for clarity, but remember availability is determined by the schedules set in the calendars.
Step 4. Check Calendar-Specific Availability
Some calendars may have a custom schedule:
Go to Calendars in FEA Create.
Find the calendar you want to update and click the pencil icon.
Open the Availability tab.
Click Edit, then choose Customize schedule for this calendar only if needed.
Set unique hours for this calendar, such as offering calls only on certain days.
Click Save.
Step 5. Use the Troubleshoot Calendar Tool
While editing a calendar, click Troubleshoot Calendar.
The system will highlight conflicts or settings that might prevent availability from showing.
Review any errors or recommendations and adjust as needed.
Step 6. Check for Booking Clashes
Existing appointments can block availability:
Go to the Booking Calendar section.
Click on the user’s name to see scheduled appointments.
Confirm there are no bookings overlapping your expected free times.
Step 7. Check Your External Calendar (Google, Outlook, iCloud)
Connected calendars may block availability even if events appear free:
Open your connected external calendar.
Look for events during the times you expected to be free.
Adjust or remove events if needed to ensure availability shows correctly in FEA Create.
Step 8. How to Test Your Booking Calendar
Once you’ve updated everything, it’s important to confirm your availability is visible to clients:
Open the Published Calendar URL in a private or incognito browser window.
Check that the time slots match your User and Calendar Availability.
Try booking a test appointment to make sure the process works smoothly.
If you have multiple calendars, repeat for each one to ensure custom schedules are working correctly.
