How to Solve Any Booking Calendar Availability Issues

If your Booking Calendar isn’t showing any availability or clients are unable to book with you, don’t worry. This guide will walk you through the most common things to check so you can get everything working properly again.

Step 1. Understand the Two Levels of Availability

There are two things that control when people can book time with you:

  • User Availability – this is your availability, based on when you're free to take appointments.

  • Calendar Availability – this is the availability you've set within the calendar settings.

Both of these work together. If either one is unavailable, then time slots will not show.

Step 2. Check Your User Availability

Start by confirming your personal availability is set up correctly.

  1. Go to Settings in your FEA Create dashboard.

  2. Click My Profile.

  3. Scroll down to the User Availability section.

  4. Make sure the correct days and times are selected.

  5. Click Update Availability to save any changes.

Step 3. Check the Calendar Settings

Next, check the calendar’s own availability settings.

  1. Go to Settings on the left-hand menu.

  2. Click Calendars.

  3. Find the calendar you want to update and click the pencil icon to edit it.

  4. Check the availability section and make sure it’s set to the days and times you want to offer.

Step 4. Use the Troubleshoot Calendar Tool

This tool can help quickly highlight any issues with your calendar.

  1. While editing the calendar, click Troubleshoot Calendar.

  2. The system will check for any conflicts or settings that might be preventing availability from showing.

  3. Review any errors or recommendations it provides and adjust as needed.

Step 5. Check for Booking Clashes

Sometimes availability is blocked because there’s already an appointment scheduled.

  1. Go to the Booking Calendar section on the left.

  2. Click on the User's name to view any clashes.

  3. Check if there are any bookings already in the time slots you expected to be free.

Step 6. Check Your External Calendar (Google or Outlook)

If you’ve connected an external calendar like Google Calendar or Outlook, it may be affecting your availability.

  1. Open your connected calendar (Google or Outlook).

  2. Look for any events during the times you expected to be free.

  3. Even if an event is marked as “Free,” it can still block availability if the system sees it as busy.

  4. Either remove the event or adjust it so it doesn’t affect your availability in FEA Create.
