How to Set Up Conversation AI to Book Appointments in FEA Create

Conversation AI in FEA Create lets you automate conversations with your customers, answer questions instantly, and even book appointments for you. This feature is perfect for making your business more responsive and saving you time, while keeping every interaction personal and professional.

Please note: There is an additional cost to use this. It costs $10 to send 475 messages.

Whether you want to capture leads, answer FAQs, or streamline appointment bookings, this guide will take you through each step in a clear, easy-to-follow way.

Step 1: Open Conversation AI

Login to your FEA Create then head to AI Agents > Conversation AI.

Step 2: Create a Bot

Click Create Bot in the top-right corner.

Choose a setup option:

  • Guided form – best for simple lead capture or general questions. Perfect if you are just getting started.

  • Custom setup – ideal if you want to create a bot with more advanced knowledge and features.

Select that you want the bot to Book Appointments.

Step 3: Set Up Your Brand Voice

Your bot’s brand voice determines how it sounds when talking to customers.

  • Give your brand voice a name.

  • Enter your business details (website, email, phone number, business hours).

  • Describe your tone of voice (for example: friendly, confident, supportive).

  • Add any extra details about your brand or customer style.

  • Click Next.

Step 4: Choose Your Preferences

In the Preferences section, pick the mode that works best for your business:

  • Off: Conversation AI will not interact with your customers. You can still edit settings.

  • Suggestive: AI gives suggested replies in the chat window. You can send them as they are, tweak them, or ignore them.

  • Auto-Reply: AI sends messages automatically to customers, improving response time. This mode is fully available on FEA Create and lets the bot handle conversations independently.

Step 5: Select Supported Channels

Decide where you want Conversation AI to respond:

  • SMS: Automate replies to text messages.

  • Facebook: AI can chat with customers via your Facebook page or Messenger.

  • Instagram: AI responds to DMs from your Instagram account.

  • Google My Business: AI engages with messages from your Google business listing.

Step 6: Pick a Calendar

In the Appointment Booking section, select a calendar from your Booking Calendars. FEA Create will automatically link your scheduling URL to the bot. This means customers can book appointments directly through the AI conversation.

Step 7: Set Up the Conversation Flow

Guide your AI bot on how to talk to customers. Ask the bot to pose specific questions before offering the booking link. For example:

  • "Do you require the services offered by BLOOM STUDIO?"

  • "Do you require these services in the locations my business operates in?"

  • "Do you wish to book an appointment?"

You can use the word count indicator to make sure your dialogue stays concise.

Step 8: Customize Bot Responses

Add frequently asked questions by going to Bot Training.

You can add web pages and FAQs and even files.

This trains the bot to respond to common queries. Example:

  • Question: "What are the operational hours of BLOOM STUDIO?"

  • Answer: "BLOOM STUDIO operates from 8 AM to 8 PM daily."

This ensures smooth communication with your customers.
